Contractor and visitor management for automotive. Contractors ready before they arrive.

Retooling and line maintenance bring contractors in every day. You complete site risk acknowledgment with them before they arrive, and the records help in IATF and TISAX audits.

What gets in the way

Where contractor entry gets stuck today

Site risk acknowledgment lives on paper and in emails

Part of the site risk acknowledgment is on paper, part in emails. For an audit you piece it together from several places.

The guard checks inductions by hand

The guard copies names from ID cards and checks induction validity by hand in paperwork and emails.

The list of people in the halls is a visitor book

Only the gatehouse book shows which contractors are inside. During an alarm someone builds the list by hand.

How it works

How a contractor visit works

  1. 01

    Invitation and site risk acknowledgment

You send an invitation from the Portal. The contractor confirms your plant's risks and fills in theirs for you to approve.

    Before arrival
  2. 02

Induction ahead or at the entrance

The worker signs the induction in the web app or finishes it at the kiosk. The interface comes in 50+ languages.

Before arrival or at the entrance
  3. 03

    Entry only after the induction

A connected turnstile or barrier lets in only someone with a valid, signed induction. The host gets a message on arrival.

    At the entrance
  4. 04

Exit and the list of people on site

Workers check out or return the card. In an alarm, everyone listed with a phone gets an SMS with the assembly point.

The kiosk runs on its own

What works as soon as the kiosk is installed

The kiosk stays off your company network

The kiosk only needs internet over cable, Wi‑Fi or its own SIM. It needs no access to your internal network.

The list of people on site in the Portal

Everyone who checked in stays on the list until they check out at the kiosk or you check them out in the Portal.

Consent to data processing

Visitors can give consent to personal data processing right at check‑in.

Cards and access control

More with accessories and integrations

We connect turnstiles and barriers on the Enterprise plan, which also includes access control integration.

Turnstiles, doors and barriers via relay

The ExtHUB box next to the kiosk opens doors, turnstiles, barriers and elevators by relay. We don't supply turnstiles, we connect to yours.

Integration with your access control

We have ready‑made integrations with ANeT, RON, Aktion, Cominfo, Salto, Genetec and others. During an evacuation, your muster list then covers everyone on site, employees included.

Issuing and collecting cards

A kiosk can have up to three card dispensers. On the way out, a card dropped into the collector ends the visit.

For every role

What aReception brings to each role

EHS manager

Every contractor's site risk acknowledgment, inductions and signatures are in one place, ready after an injury or an inspection.

Quality

For IATF and TISAX audits, the Portal shows who was on site, when and which safety induction they completed.

Security and gatehouse

The kiosk takes over check‑in. The guard sees who has completed the induction and has a muster list during an alarm.

Maintenance

The technician can complete the induction before arrival, so they don't lose time on it at the gate.

Logistics

The driver registers at the kiosk by the gate. When dispatch assigns a dock in the Portal, an SMS names it.

Plant management

The gatehouse stops copying names, so you can run it with fewer staff. Artifex saves €1,700 a month without a receptionist.

Price

Software for one kiosk from €499 a month

The price is for the Premium plan billed annually and includes updates and unlimited check‑ins. The kiosk, accessories and setup are billed separately.

Frequently asked

Frequently asked about rollout at your plant

Does aReception help in audits?

Yes. Records of site risk acknowledgments and inductions help you in customer, IATF and TISAX audits. The Portal shows by name who was at the plant, when, and which induction was valid for them.

What if a contractor's induction expires?

You set the validity for each document separately. If they arrive with an expired induction, the kiosk has them go through it again before letting them in.

How do you prove a contractor was instructed?

For each safety induction, the system stores the date and time, who signed, the signature and the signed document.

What if a technician doesn't speak the local language?

The kiosk and the invitation come in 50+ languages. You provide the induction content, so you upload it in the languages your contractors understand.

Do you connect to our turnstiles and access control?

Yes. We connect turnstiles and barriers via relay on the Enterprise plan, which also includes access control systems. Integrations with ANeT, RON, Aktion, Cominfo, Salto, Genetec and others are ready‑made. We don't supply turnstiles, we connect to yours.

How much does it cost?

Software for one kiosk starts from €499 a month on the Premium plan, billed annually. The kiosk, accessories and the one‑off setup are billed separately. See all plans on the pricing page.
