Audit records and an overview of contractors. Who is on site and who signed the induction.

Every induction and site risk acknowledgment leaves a signed, time‑stamped record for audits. The Portal shows which contractors are on site right now.

What gets in the way

Where the EHS manager loses time on contractors today

Site risk acknowledgment lives in emails and on paper

You email the site risks and collect signatures on paper. Before a customer audit, someone digs the signed version out of binders and emails.

Induction and permit validity is tracked by hand

You track the validity of contractor inductions and certificates in a spreadsheet. The spreadsheet won't tell you that something expires soon.

Instructed, but the signature can't be found

A contractor's worker trips over a cable, and it's a workplace injury. They claim they were never instructed, and the signed paper is missing from the binder.

At the gatehouse, the guard checks inductions on paper

The guard checks paper records and emails by hand to see whether a technician has a valid induction and a signed site risk acknowledgment.

How it works

How a contractor visit works

  1. 01

    Invitation and site risk acknowledgment

You send an invitation from the Portal. The contractor confirms your site's risks and adds the risks of their work for you to approve.

    Before arrival
  2. 02

Induction ahead or at the entrance

Through the invitation link, the worker can complete the induction ahead and sign it. Anything left, they finish and sign at the kiosk.

Before arrival or at the entrance
  3. 03

    Entry only after the induction

A connected turnstile or barrier lets in only someone with a valid, signed induction.

    At the entrance
  4. 04

Exit and the list of people on site

Workers check out or return the card on exit. During an alarm you have a muster list of everyone who checked in.

What you see in the Portal

Site risk acknowledgments, inductions and contractor permits in one place.

  • Who is on site, with which induction? The Portal shows who is on site right now, from which company and with which valid induction.
  • Whose permit expires soon? The system reminds the contractor and the EHS manager in advance that a document or certificate is about to expire.
  • Are the contractor's permits approved? You approve the documents the contractor uploaded ahead in the Portal and see for each one whether it is approved. Contractors see only their own.
  • What do you show the auditor? You export a report listing each person from the Portal: who was on site and when, which induction was valid and when they signed it.

Frequently asked

Frequently asked by EHS managers

What do you show an auditor under ISO 45001?

For every contractor you have the confirmed risks, signed inductions and entry times on record. These records help in ISO 45001 and customer audits; aReception holds no certification itself.

What if a contractor's induction expires?

You set the validity for each document separately. If they arrive with an expired induction, the kiosk has them go through it again before letting them in.

How do you prove a contractor was instructed?

For each induction, the system stores the date and time, who signed, the drawn signature and the signed document.

What if a technician doesn't speak the local language?

The kiosk and the invitation come in 50+ languages. You provide the induction content, so you upload it in the languages your contractors understand.

What if a technician has no email?

They complete and sign the induction at the kiosk by the entrance.

What if dozens of contractors arrive at once for a shutdown?

Anyone who signed the induction in advance only checks in at the kiosk. The median of all kiosk check‑ins is 1 min 20 s. You can also limit their entry to the shutdown window.

How long are records kept?

You set how long records are kept.

How much does it cost?

Software for one kiosk starts from €499 a month on the Premium plan, billed annually. Turnstile and barrier connection is part of the Enterprise plan; the kiosk, accessories and the one‑off setup are billed separately. See all plans on the pricing page.
