The Challenge
Model Obaly a.s. runs a modern packaging plant in Opava with a genuinely busy entrance. Suppliers, contractors, auditors and job applicants arrive throughout the day. Every supplier needs a completed risk handover, and each of their workers needs mandatory safety training with a signature, a visitor badge and a notification to the right host.
Handling all of this at a staffed reception desk was time consuming and administratively heavy, and it tied up the capacity of both the admin and safety teams. And as long as a supplier can walk in without valid training while the overview of who is inside lives only on paper and phone calls, it is not just a drag on operations, it is also a risk during an inspection or an evacuation.
The Solution
aReception brought a complete visitor management system into the plant. Suppliers and visitors are invited and registered online in advance, they complete the risk handover and the mandatory safety training with a digital signature before they even arrive, and the system itself keeps track of whether previous training is still valid.
The solution also automates the reception desk with a self-service kiosk at the main entrance. The AI avatar handles both expected and unexpected visitors in their own language around the clock, walks them through the mandatory safety training with a signature, issues a visitor badge and, thanks to the access control integration, opens the door only to those who have everything in order.
Access itself runs through ACS ANeT, the access control system from our integration partner ANeT. When a visitor checks in, the ExtHUB dispenser issues a card and aReception activates it directly in ANeT with the right access rights. A supplier who has not completed a valid risk handover simply does not get an active card, and every card stays logged in ANeT against the visit it belongs to.
On top of that, the platform keeps a real-time overview of everyone on site. In an emergency it automatically coordinates the evacuation: everyone instantly receives an SMS with the plan and confirms with a single tap that they are safe.
Suppliers and their workers now complete the risk handover and sign their safety training before they even enter, and I finally have a real-time overview of everyone on site, ready for any inspection or evacuation.
The Results
Reception now runs without a permanent staff member at the desk, around the clock and in every required language. Supplier check-in, the risk handover and signed safety training all happen before entry, with a complete electronic audit trail ready for any inspection.
Compared with covering these processes with staff, Model Obaly saves roughly 40 000 CZK per month and the investment pays back in about six months. The real difference, though, is peace of mind: nobody enters the operation without valid training, the safety team has an overview of who is on site at any moment, and the company is ready for both an audit and an emergency. This is exactly what an entrance looks like when a modern production site has it under control.
