How CEmpA runs a self-service reception in the Azores

The Challenge

CEmpA Centro Empresarial dos Açores is a business centre in Ribeira Grande on the island of São Miguel, where companies rent offices, coworking desks and virtual addresses. A steady flow of guests, deliveries and enquiries passes through one entrance, and every arrival expects attention at the front desk.

The team wanted the entrance to work without tying a person to the desk all day. Visitors had to be welcomed and announced in Portuguese or English, and parcels and post for tenants had to be handed over reliably. For a business centre, the entrance is part of the service the tenants pay for, so the first impression at the door matters as much as the offices upstairs.

The Solution

aReception.ai supplied a Zebra KC50 kiosk with a 22-inch touchscreen for the entrance. The digital receptionist greets every arrival in Portuguese or English, checks visitors in and notifies the host that their guest has arrived.

The same kiosk streamlines parcel collection. Couriers and tenants follow one clear routine at the screen, so post and packages for tenants are handed over the same way, whoever is on the front desk.

The whole deployment ran remotely. The kiosk arrived in the Azores from the Czech Republic preconfigured and under remote management, so no technician needed to travel to the island, and it went into daily operation in December 2025. Content, languages and visit records are managed in the aReception portal.

The Results

CEmpA now runs its reception as a self-service process in Portuguese and English, and the team has won back the time it used to spend at the front desk. The aReception kiosk brought visitor check-in and parcel handover together in one routine: guests check in in their own language, hosts know immediately that someone is waiting, and every visit leaves a clean record. The front desk presents the building well even when everyone is busy.

The deployment also shows how far the service reaches. The kiosk was configured before shipping in the Czech Republic and travelled some 1,400 kilometres beyond the European mainland to São Miguel, so no technician needed to travel to the Azores to set it up. For CEmpA it means a well presented entrance, an accurate record of who has come through the door and valuable time saved for the team.
